Voice dictation for dealership deal notes
Dealership Workflow puts a microphone button in the notes box on deals, cancellations and support tickets. Tap it and talk: your words appear in the box as you speak, you fix anything that’s wrong, and you save the note as usual. Saying “ping” and a teammate’s name tags them in deal and cancellation notes.

How does voice dictation work in deal notes?
You tap the mic, talk, and the words appear in the notes box while you speak; nothing is saved until you press Add Note.
The phrase still being heard shows in gray as “Listening…”, and each finished phrase goes in where the cursor is. Edit the text like any typed note, then save it.
Stopping
Tap the mic again or press Escape. It also stops by itself after 25 seconds of silence or 5 minutes of talking.
Plain mic messages
If the mic is blocked, missing or in use by another app, the box says so in plain words.
Where can you dictate instead of type?
You can dictate in deal notes, cancellation notes and support tickets, from a new request to a reply.
The same mic is on the deal’s message box, the notes step when a new deal is started, and team chat.
Does it spell dealership words and customer names right?
It is given dealership terms such as VIN, F&I, GAP, VSC, lienholder and payoff, plus the customer’s and co-buyer’s names and your teammates’ names, to help it spell them.
The text is what you said, trimmed. AI does not rewrite or summarize your note, and you can fix any word before saving.
Can you tag a teammate by voice?
Yes. In deal and cancellation notes, say “ping” and a name, and it becomes an @mention of that teammate.
Names are matched by spelling or by sound, so Sean can find Shawn. If two people could match, a “Who did you mean?” picker appears. The tagged teammate gets an email, the same as a typed mention.

Frequently asked questions
Does voice dictation work on a phone?
Yes. It works in the browser on iPhone and Android phones and on desktop, with nothing to install. The browser asks once for permission to use the microphone.
Is the audio recorded or kept?
No audio is kept. Speech is sent to OpenAI to be turned into text, and only the note you save is stored.
Does AI rewrite what I say?
No. Dictation fills the notes box with your words; it does not summarize, reword or save anything on its own.
What languages does it understand?
English.
