Form 8300

IRS Form 8300 for car dealers

Dealership Workflow lets your office fill IRS Form 8300 from the deal record when a customer pays more than $10,000 in cash. Buyer, co-buyer, vehicle, VIN and sale price come from the deal, your dealership details come from settings, and the card shows the 15-day due date until someone marks it filed with FinCEN.

What does Form 8300 software do for a car dealer?

It fills Form 8300 from what is already on the deal, so the office types only what the deal doesn’t know, like the cash details and the buyer’s ID.

Every deal has a Form 8300 card. Press Fill Form 8300 and a six-step wizard walks through Cash, Who paid, On behalf of, Second person, Dealership and Review.

  • Color-coded fields

Each field shows where it came from: blue from the deal, purple from Configuration, amber for what you type, red for store details still missing.

  • Cash details

Date received, total cash, the amount in $100 bills, and the type: U.S. currency, cashier’s check, money order, bank draft or traveler’s check.

What gets filled in from the deal?

The buyer’s and co-buyer’s names and addresses, the year, make, VIN, stock number and sale price come from the deal, and every one can be edited before the form is made.

The dealership part of the form comes from your store settings: legal entity name, EIN, contact person and title, nature of business and address. A store admin sets these once in Configuration.

Social Security numbers, dates of birth and ID numbers are typed into the wizard and go only into the finished files. They are not saved in a table or written to a log.

When is Form 8300 due, and how do you track it?

Form 8300 is due 15 days after the cash is received, and the card works out that date and shows it as Not filed, Overdue or Filed.

When the office files, someone marks the card filed with the filing date and can add the BSA ID FinCEN gives back. The card shows who marked it filed. Only a store admin can undo it.

  • Earlier versions kept

Fill again makes a new copy and keeps the old ones under Earlier versions.

  • Audit trail

Creating, marking filed, undoing and downloading are all recorded in the audit log.

Does Dealership Workflow file Form 8300 for you?

No. Dealership Workflow fills the form; your dealership files it with FinCEN through its own BSA E-Filing account.

Each fill makes a filled IRS Form 8300 PDF and a BSA E-Filing batch XML file, stored with the deal. The card’s “How to file with FinCEN” section lists the upload steps.

The card also reminds you to give the buyer the written statement by January 31 and to keep a copy for five years. It does not write that statement for you.
