Dealer trades

Dealer trade log for car dealerships

Dealership Workflow’s dealer trade log replaces the shared trade spreadsheet for stores in the same dealer group. Each trade gets its own record: units, stock numbers, cost, the manager who made it, and three steps (added to inventory, posted to the DMS, money transferred), plus what one store still owes the other.

What does the dealer trade log record?

Every trade records the receiving store, the store it came from, the new and old stock numbers, the last six of the VIN, the transfer date, the cost and the manager who logged it.

New stock numbers are assigned in the store’s own trade format, so nobody has to remember which number is next. Notes and an activity history stay on the trade, so the office can see who did what without asking.

  • Already-traded warnings

While a trade is being logged, the system warns if that unit was already traded or is being traded back.

  • Age bump

Record whether an age bump applies to the unit and how much, using the group’s default amount.

How do you know a dealer trade is finished?

A trade is finished when all three steps are done: added to inventory, posted to the DMS, and the money transferred between stores.

Open trades show how many days they have been waiting, gray for the first week, amber after 8 days and red after 30. The Open tab is a work queue: what is waiting on inventory and what is waiting on accounting.

One button sends the trade to the office by email with a link, so the person posting cost gets the trade instead of a sticky note.

How do you track money owed between stores?

The Money owed tab lists every trade where one store still owes the other: the amount, which store pays, and when it was settled.

Group managers can switch between one store and the whole group, so month-end settlement between rooftops is one list instead of a spreadsheet reconciliation.

Who can log and close dealer trades?

Your admin decides by role: who can see trades, who can log them, who marks inventory done and who marks the accounting steps.

The defaults give logging to sales managers and the accounting step to office staff, and every role can be changed in the store’s role settings.

FAQ

Frequently asked questions

What is a dealer trade?

A dealer trade is when one dealership takes a vehicle from another store’s inventory, usually to close a deal on a unit it doesn’t have. This trade log covers trades between stores in the same dealer group.

Does it work for trades with dealers outside my group?

No. The trade log tracks trades between rooftops inside your own dealer group. Trades with outside dealers are not tracked here today.

Does it move money or post to my DMS?

No. It records that the unit was posted to the DMS and that the money was transferred. People still do those steps in the DMS and in accounting; the log shows what is done and what is waiting.

Is the trade log available for every store?

Dealer Trades is set up for your stores during onboarding. Ask about it on your demo.
